The Knotty Bear Retreat | Pets Require Approval Prior to Booking

🔒 Booking Requirements: ★ Rental agreement must be signed digitally within one hour of booking and is required for cabin access. ★$500 security deposit is required for cabin access, collected 72 hours before check-in. ★Identity verification is required for cabin access. - All guests must be 25+ unless accompanied by a parent/guardian. ⚠️ Review the cancellation policy, pet policy, and house rules sections of the listing; consider travel insurance for unforeseen circumstances. - We reserve the right to cancel reservations that violate house rules without a refund. ⚠️ The cabin sleeps 12 with 2 enclosed bedrooms, an open-air loft that is NOT an enclosed bedroom with full over full bunk beds, a sleeper sofa in the living room, and 2 large full-size bathrooms. Please consider your comfort and privacy needs to ensure the cabin meets your expectations. 🐾 Pets (Pre-Approval Required): - Max 2 small dogs, subject to breed/size approval. No other animals will be considered. - Pet fee is $100 per pet, non-refundable. - Potty pads are prohibited. - Crating is required; pets cannot be left to roam when unsupervised. - Excessive mess, damage, or barking may result in additional charges or removal. ⚠️ Identity verification is required by our insurance provider): By completing the checkout process, you are confirming your agreement to our house rules, cancellation, and refund policies. Additionally, you are consenting to providing the necessary identification details, including your government-issued photo ID, and digitally signing our rental agreement for verification purposes. No exceptions will be made to the identity verification requirement and the Guest will not be permitted access to the property if not approved by the third party company. If the identity verification is not completed within 24 hours of booking the Owner reserves the right to cancel the reservation and release the dates. The cancellation policy applies in the event of non-compliance OR denial of coverage by the insurer. The cancellation policy applies in instances when a reservation is canceled due to the Guest’s refusal or failure to correctly execute the rental agreement or identity verification process, or to provide requested identity verification documents, and any additional verification steps required by the third party company. Name on government photo ID must match the credit card and guest registration information. ▻ A $500 security deposit is collected 72 hours prior to check in as a hold on the credit card used for booking. If, at the end of the rental period, the rental property is returned undamaged beyond normal wear and tear, the Security Deposit will be released in full within five (5) business days. ⚠️ Refund Policy - No refunds are given unless there is a mandatory evacuation in our area. No changes/refunds due to illness/fear of heights/mountain road conditions/inclement weather / natural disasters/power or internet outages/acts of God/events beyond the host's control. Guests are required to report any issues with cleanliness, items in need of repair, or disruptions to their stay or comfort during their stay to provide the host time to correct the issue. No refunds will be considered for anything reported after checkout. Cancellation and refund policies will be enforced if a booking is made with a pet without prior approval and the pet is denied.​ Pet fee is non-refundable. ⚠️ It is highly recommended Guest purchases trip cancellation/interruption insurance for unforeseen circumstances such as family emergencies, funerals, bad weather delays, flight/rental car cancellations, job loss, snow/ice, Covid-19 bans/restrictions, early departures, etc. If you live in an area prone to hurricanes, forest fires, etc. and cannot make your trip, please seek reimbursement through your travel insurance. 🛑 Non-negotiables: ⚠️ The driveway and front entrance are monitored and recorded, including audio for your safety. Tampering with security devices, sensors, or WiFi will result in immediate removal without refund. ⚠️ Exceeding the occupancy agreed upon, including bringing pets or having parties, will result in immediate removal without refund and a $500 cleaning fee. ⚠️ No smoking/vaping/drugs/fireworks/illegal activity. Violations will result in immediate removal without refund and a $500 cleaning fee. 📅 Check-In / Out - Check-in: 4:00 PM | Check-out: 10:00 AM (electronic lock code) - $100 fee every 15 minutes past checkout. ⚠️ If you require earlier check-in, please add the night before to your reservation. 🛑 Septic & Well System: – Only flush toilet paper. – The well requires power – if there’s an outage, water will stop once the tank runs dry (rare but possible). 👙 Hot Tub: – Keep cover on when not in use; do not stand on the cover ($450 replacement fee). - No soaps, lotions, or oils allowed. - The hot tub is cleaned and sanitized between each guest. Guests may request a mid-stay hot tub cleaning for $65. - Do NOT remove the filter, as objects can enter the pump. The hot tub will shut off, and there will be a code identifying that the pump is compromised. This can result in damage and repair charges. 🔥 Fire Pit & Outdoor Amenities: ⚠️ Do not use the fire pit unless you have experience with fire safety. Do not use the fire pit in windy/dry conditions, or when a burn ban is in effect (misdemeanor with a $2500 fine). - Do not leave fire or children unattended. Put the fire completely out with a hose before retiring. - No accelerants, no trash burning, no cooking paraphernalia in the fire, including pots and pans, etc. - The slide is for children only; please be mindful of weight limitations - The outdoor shower is not available in the winter due to the possibility of frozen pipes. 🐻 Mountain Living: – Bears are knotty and smart; they know how to open unlocked car doors. Keep windows, doors, and trash receptacles locked. Keep all food inside the cabin. Damage will be your responsibility. - Keep shower curtains inside the tub to prevent costly ceiling/floor damage. – Critters may find their way in; we have regular pest control. You might find critters that didn’t survive and/or a few occasional live unwelcome guests. Please keep doors and windows closed. - Do not run the a/c and fireplace simultaneously; the unit will freeze over. – TN homes are built for a moderate climate, HVAC may maintain mid-60s (winter) and mid-70s (summer) in extreme weather. Rest assured, our cabin and major components are newly built/installed, and we will address any issues promptly during your stay. - Power/internet outages, weather extremes, and spotty cell service are possible in the mountains. 🚗 Mountain Driving: ⚠️ All Wheel Drive (AWD / 4x4) could be required to reach the cabin in snow/ice (Oct-May). ▻ We strongly suggest winter tires or chains if snow or ice is forecasted, as they can significantly enhance traction and control and could be necessary on steep mountain roads. ▻ The cabin driveway is paved, flat, and can accommodate 6 vehicles (double parked). ▻ Roads are well-maintained and easy to navigate.
